PAIA manual

MAZE Education is a small private body. We keep this manual on our website so that anyone can see how to ask us for records, whether or not the law requires a small business like ours to publish one.

This manual explains how to ask for records held by MAZE Education (Pty) Ltd under the Promotion of Access to Information Act 2 of 2000 (PAIA). It also summarises how we process personal information under the Protection of Personal Information Act 4 of 2013 (POPIA).

The Information Regulator's guide

The Information Regulator publishes a guide on how to use PAIA (section 10 of PAIA). It is on the Regulator's website, inforegulator.org.za, in English and other official languages. You can also ask to see a copy at our office.

How to ask for a record

  1. Fill in Form 2 (Request for access to a record), which is on the Information Regulator's website.
  2. Describe the record in enough detail for us to find it, and say how you would like access, for example a copy by email.
  3. Say which of your rights you want to exercise or protect, and why you need the record for it. PAIA asks for this in requests to private bodies.
  4. If you are asking on behalf of someone else, include proof that you may act for them.
  5. Email the form to hello@maze.education. If you would rather deliver it by hand, email us first and we will send you our address.

Fees

A request fee and an access fee (for finding, copying and preparing records) may apply, at the amounts set in the PAIA regulations. We tell you what they are before we do the work. There is no request fee if you ask for your own personal information.

What happens next

We decide on your request within 30 days and tell you in writing. If the request is large or complex, we may extend this once, by up to 30 days, and tell you why. We can only refuse on the grounds set out in PAIA, for example to protect someone else's privacy or confidential commercial information, and we give our reasons.

If you disagree with our decision, you can complain to the Information Regulator or apply to court.

Records we hold

  • Company records: incorporation documents, the share register, directors' records, and minutes and resolutions.
  • Financial and tax records: financial statements, accounting records, tax and VAT returns, bank records and invoices.
  • Customer records: contact details of school staff and other customers, correspondence, quotes, orders, bookings, invoices and support requests.
  • Supplier and partner records: agreements, orders, invoices and correspondence.
  • Employee and contractor records: contracts, payroll, tax and leave records.
  • Marketing records: newsletter subscribers and the choices they made.

Records available without a request

Everything published on this website, maze.education, is available to anyone without a PAIA request, including product information, prices, articles and these legal pages.

Records we keep because other laws require them

We keep records as required by laws including the Companies Act, the Income Tax Act, the Value-Added Tax Act, the Tax Administration Act, the Basic Conditions of Employment Act, the Consumer Protection Act, the Electronic Communications and Transactions Act and POPIA.

How we process personal information

This is a summary. Our privacy notice explains it in full.

  • Why: to reply to enquiries, quote, take bookings, deliver orders, invoice, give support, keep the records the law requires, and send news to people who have agreed to receive it.
  • Whose information: school staff and other customers (names, contact details, school, role, orders and correspondence); suppliers and partners (contact and payment details); employees and contractors (employment, tax and payroll details); newsletter subscribers (email address and consent).
  • Who receives it: our service providers (Zoho, Paystack, our website host and, if Ask Maze is switched on, Anthropic), couriers and our installation partner for delivery and installation, our professional advisers, and authorities such as SARS when the law requires.
  • Outside South Africa: our Zoho account is held in the United States, and other providers may process information outside South Africa, only as section 72 of POPIA allows.
  • Security: access is limited to the people at Maze who need it, card details never reach our systems, and this website uses an encrypted connection.
